Social and ethical RESPONSIBILITIEs

 

When using application software, the end user has to accept social and ethical responsibilities as issues arise from the processing of data into information. Those issues like data security, accuracy of data and copyright can affect people using directly or indirectly the software applications like MS Word, MS Excel and MS Access as well as Adobe Photoshop.

DATA SECURITY

It is important that Passwords are used for confidential documents produced in word excel or access.

Firewalls can be used on the computer networks to check all the data coming from outside sources such as the internet to be verified and authenticated.

Back up procedures need to be put in place and be secure and reliable. A regular plan of copying and storing documents will guard against data loss. Organisations usually keep at least one back up copy in a fireproof safe off site.

 

DATA ACCURACY

Today there is a huge amount of information available but not always accurate.

Including a link for example is no proof of accuracy. Therefore, who is responsible for the accuracy of the data. Because of the multiple sources available to a user, one must compare the sources and validate the accuracy of the data.

 

There are concerns also about data being altered and if it is ethical. Is it acceptable to improve a photograph? Making teeth whiter etc…?

 

DATA VALIDATION

Users have to ensure data is up to date, current and complete as well as correctly entered when using application software.

·        Range checks are recommended when entering dates or amounts

·        List checks are recommended when entering State Names for example

·        Type Checks are recommended for example if a user is entering numbers instead of a family name.

·        Check Digits are recommended for example when entering an ISBN or a student number etc.

COPYRIGHT

In Australia, the copyright Act regards any original work as the intellectual property of the person who created the work. Copyright ownership is automatic and applies even if the work is not accompanied by the copyright symbol ©.

On line Sources often appear and disappear quite quickly therefore the date of download and the URl are important when citing an internet source.

Application Software Developers are protected by Copyright and each application contains a license agreement or registration card giving the user the permission to make one back up copy.

Illegal copying of the application software is called Software Piracy.

Organisations can purchase a site license and / or a network License.

Public Domain Software or Freeware can be freely distributed.
